English service guide and inquiry

Arrange the right factory check for the decision you need to make.

A visit, a factory audit and a product inspection answer different questions. ChinaConnect247 helps define the check, coordinate an appropriate independent provider and organize findings and follow-up. We do not represent an inspector’s facilities or accreditations as our own.

For a buyer checking a production site, planning an order, monitoring production or deciding whether a defined shipment is ready. Agree what must be observed or tested before booking a provider.

Visit, audit or product inspection?

Choose according to the question, not just the price. The proposal identifies the site, product, lot, standard or checklist, provider and intended output. Laboratory testing may be a separate requirement.

Type of check
Factory visit
Main question
What can be observed at the agreed site during the visit, and what questions can be documented?
What it does not establish
A visit is not automatically a formal capability audit, complete ownership investigation or product certification.
Type of check
Factory capability audit
Main question
Do the observed facilities, processes, capacity and quality systems fit the proposed manufacturing work?
What it does not establish
Capability findings do not prove every unit in a later order meets your specification.
Type of check
Product/lot inspection
Main question
Do sampled goods in the identified order meet the agreed dimensions, workmanship, function, labelling and packing criteria?
What it does not establish
Sampling is not a 100% batch check and does not replace model-specific regulatory testing.

Scope and practical next steps

01

Select checkpoints before production starts

The timing should follow the risk and the production plan. An early check can examine materials or setup; a during-production check can identify issues while changes are still possible; a pre-shipment inspection requires enough completed goods and packing access for the agreed sampling.

  • Identify the purchase order, SKU/model, lot quantity, location and production stage.
  • Confirm supplier cooperation, inspection access, goods readiness and booking lead time.
  • State what must happen before a payment milestone or shipment release.
02

Write criteria the provider can actually check

Agree the specification and approved reference sample, measurable tolerances, defect classifications, functional tests, packaging and label requirements. The provider should propose a suitable inspection/sampling approach for that product and decision.

  • Specify dimensions, materials, finishes, performance checks and acceptable variation.
  • Agree sampling level, acceptance criteria and test methods with the appointed provider; do not apply a generic AQL to every risk.
  • Confirm which tools, laboratory tests, destructive tests or specialist capabilities are required and who pays for them.
03

Keep findings separate from shipment authorization

Request traceable observations: site/date, order/lot identity, sample size and method, photos, measurements, test outcomes, deviations and inaccessible areas. A summary result is only as useful as its agreed scope and supporting evidence.

  • Record corrective actions, responsible party and the evidence needed to close each issue.
  • Decide whether document review is sufficient or a reinspection is needed.
  • The buyer decides acceptance and shipment/payment release under the contract; a provider report is not an automatic release instruction.

What you receive

  • An agreed visit/audit/inspection brief identifying the decision, site, product and checkpoint.
  • Provider scope, quotation, readiness requirements and responsibility confirmation.
  • An evidence handover with findings, deviations, access limits and open questions from the appointed provider.
  • A corrective-action and follow-up plan; reinspection only where separately agreed.

What to prepare for your brief

  • Supplier/site address, official contact, purchase order and product/SKU details.
  • Order quantity, production status, target inspection date and shipment/payment deadline.
  • Specification, approved reference sample, packaging/labels and required checks.
  • Existing quality concerns, defect criteria and any specialist or laboratory requirements.

Quotation method and indicative fees

Factory-visit coordination, inspection coordination and testing/compliance coordination have different existing indicative ranges. A basic visit is not a full audit or laboratory test. Ask for an itemized proposal stating provider fees, travel, site days, test scope, reporting, corrective follow-up and any reinspection cost. Do not assume every listed range is part of one booking.

Factory visit coordination
From US$300US$400-US$800 typical visit package
Inspection coordination
US$400-US$1,500 / visit
Testing and compliance coordination
US$500-US$5,000

Indicative USD ranges from our Services & Pricing page. Your written quotation controls the fee, deliverables, payment arrangements and separate charges.

Timing and readiness

Book against confirmed goods readiness and provider availability, allowing time for supplier corrections and possible reinspection before dispatch. Delivery/report timing is confirmed in the proposal. A requested date or an initial inquiry reply does not reserve an inspector.

Scope limits and separate work

  • The provider’s access, sampling, test methods and visit date bound the findings. Unavailable goods or restricted access must be recorded.
  • Regulatory certification, full-batch quality, future production and customs clearance are not guaranteed by a site visit or sampling inspection.
  • Travel, specialist equipment, laboratory tests, extra site days and repeat inspections may be separate charges.

Questions about china factory inspection

Can you carry out the inspection yourselves?

This page offers scoping and coordination with an appropriate independent provider. The quotation names who performs the physical work and defines their capabilities, responsibilities and charges.

What happens if the goods fail the agreed criteria?

Review the evidence with the supplier, agree corrective actions and decide how they will be verified. The buyer determines whether to pause, reject, accept a documented variation or request another inspection under the contract.

Is passing an inspection the same as product compliance?

No. Visual/functional inspection and regulatory or laboratory testing have different purposes. Agree product/destination requirements with qualified specialists and check the exact test scope.

What if the factory is not ready on the booked day?

Confirm readiness before booking and reconfirm it before travel. The proposal and provider terms define cancellation, wasted-visit and rescheduling charges; insufficient access or goods can limit the result.
